Our division of labor ensures that each aspect of property management is handled by specialists who excel in their respective fields. Here’s an overview of how we allocate responsibilities within our team to provide top-tier service to our clients:

  • Role Overview:

    Property Managers at Invicta are the cornerstone of our property management operations. They are responsible for consulting with property owners and managing the logistics of each property. Tasks for Property Managers can be assigned manually or generated through the Buildium portal, ensuring that all duties are tracked and handled efficiently.

    Key Responsibilities:

    Consultation and Logistics: Provide expert advice and manage the day-to-day logistics of property management.

    Task Assessment: Assist owners or boards in evaluating the viability and scope of maintenance or project requests.

    Task Management: Once a task is completed and if it falls within Invicta’s operating budget or is approved by the board, the Property Manager will close the corresponding Buildium ticket. This allows owners to review completed or closed tasks at any time.

    Staff Management and Contract Negotiation: Oversee staff performance and negotiate contracts to ensure the best service and value.

  • Role Overview:

    Operations Managers at Invicta are tasked with executing approved work and managing the bidding process for various projects. They are crucial in ensuring that all maintenance and project requests are handled promptly and efficiently.

    Key Responsibilities:

    Bid Acquisition: Obtain competitive bids for approved projects to ensure cost-effectiveness and quality.

    Project Execution: Oversee the implementation of approved tasks and projects, ensuring they meet the required standards and deadlines.

    MELD Ticket Management: Generate MELD tickets for requests and follow through with the execution of tasks.

    Post-Completion Inquiries: Once the Buildium ticket has been closed, address any project—or task-related questions, except for administrative concerns directed to the Property Manager.

  • Task Submission: An owner or board member submits a maintenance or project request through the Buildium portal.

    Assessment and Approval: The Property Manager assesses the request’s viability and scope. If necessary, the board votes on or approves the task within Invicta’s operating budget.

    Ticket Generation: The Operations Manager generates a MELD ticket for the approved request. Owners can track progress via the MELD ticket.

    Execution: The Operations Manager acquires bids and oversees the execution of the task.

    Closure: Upon completion, the Property Manager closes the Buildium ticket, allowing owners to review the completed tasks.

Please be advised that HOA management contracts typically only cover the exterior of each unit. A rental or maintenance agreement is required to manage or perform maintenance inside a unit.
